Ceramika Paradyż streamlines its processes with EDI

One of Poland’s largest ceramic tile manufacturers, Ceramika Paradyż, implemented Electronic Data Interchange (EDI) in cooperation with EDITEL. The result: fully automated core processes, fewer errors, and faster, more efficient service for business partners.

Before implementing EDI, Ceramika Paradyż handled orders and invoices primarily via e-mail or FTP. This required manual data re-entry into the ERP system — a time-consuming process that increased the risk of errors and caused delays. Automating these workflows was therefore a natural next step. The company aimed to eliminate paper-based documentation and errors caused by manual data entry.

Automation as a clear objective

The goal of the EDI implementation was to minimize manual work related to processing orders, invoices, and deliveries, while also standardizing documents and improving communication with trading partners. Speeding up order responses and increasing logistics efficiency were equally important objectives. Following a market analysis and consultations with business partners, Ceramika Paradyż chose to work with EDITEL. The experience and expertise of the implementation team ensured that the project was delivered smoothly.

The most challenging phase of the project proved to be integrating EDI with the existing ERP system. This required adapting the system to generate files in the correct format, which could then be mapped to the EDIFACT standard. Thanks to close cooperation between the technical teams at Ceramika Paradyż and EDITEL, the challenge was successfully resolved and the implementation completed without issues.

Scope of cooperation with EDITEL

As part of the cooperation with Ceramika Paradyż, EDITEL is responsible for operating and further developing a comprehensive EDI environment, covering communication with retail chains, logistics partners, and international recipients. The scope includes a full set of EDIFACT and XML messages, including: ORDERS (orders), ORDRSP (order confirmations), DESADV (dispatch advices), INVOIC (invoices), and RECADV (receiving advices).

EDITEL also maintains and enhances translation maps and connections that enable fully automated data exchange with key partners such as Castorama, Hornbach, Kingfisher, and Leroy Merlin.

In addition, Ceramika Paradyż uses SAFE, EDITEL’s digital document archive, which ensures secure, legally compliant storage of EDI documents and e-invoices. This solution supports audits, accelerates access to data, and improves internal document management.

By centralizing its EDI operations with EDITEL, Ceramika Paradyż now benefits from a stable, scalable integration environment that supports efficient collaboration with trading partners, reduces the risk of transmission errors, and automates key logistics and financial processes. The system is also fully prepared for integration with Poland’s National e-Invoicing System (KSeF) — the next milestone in the company’s journey toward end-to-end digital document management.

Digitization as a strategic direction

The EDI implementation has significantly improved day-to-day operations across the sales, logistics, and finance departments. The entire order-handling process — from order receipt through dispatch documentation to invoicing — now runs smoothly and reliably. Automation has allowed teams to focus on higher-value tasks instead of manual data entry. Collaboration with business partners has also improved noticeably. 

Initial skepticism toward the new solution quickly gave way to acceptance, and today the vast majority of Ceramika Paradyż customers are served via EDI.

Implementing EDI represents an important step in Ceramika Paradyż’s broader digitization strategy. The company plans to further expand automation — both through integration with KSeF and by onboarding additional trading partners.
