PHILLIPS Europe streamlines daily operations with EDI

Just a few years ago, day-to-day document handling at PHILLIPS Europe was extremely time-consuming. Every order and invoice had to be entered into the system manually. These processes required significant effort, and errors caused by manual data entry were virtually unavoidable.

Under these circumstances, the decision to implement EDI was less a matter of choice and more a business necessity. The objective was to accelerate and automate communication with customers, reduce operating costs, and eliminate the risk of errors. PHILLIPS Europe selected EDITEL — an established EDI provider — whose experience and expertise ensured a secure and efficient implementation.

Results in everyday operations

The biggest challenge proved to be integrating the new solution into the existing IT landscape. This required not only technical adjustments, but also preparing employees to work in a changed environment. As it quickly became clear, these concerns were unfounded. Thanks to close collaboration with the EDITEL team and their technical support, the implementation ran smoothly and did not disrupt ongoing operations.

The results are clearly visible today. Processing times for orders and invoices have been reduced from several hours to just a few minutes. Errors that once occurred frequently have been almost completely eliminated. Sales, logistics, and finance teams can now focus on strategic tasks, having removed the need for manual data entry.

Implementing EDI is a strategic investment that delivers tangible savings and significantly improves how the entire organization operates. “We recommend EDI to any company that wants to optimize its supply chain and strengthen relationships with business partners,”
summarizes Tomasz Mikołajczyk, IT Director at PHILLIPS Europe.

Comprehensive EDI services from EDITEL

EDITEL provides PHILLIPS Europe with end-to-end Electronic Data Interchange (EDI) services, focusing on seamless communication with all business partners. The cooperation includes building and maintaining dedicated connections (including AS2 and OETP) as well as delivering advanced data mapping solutions.

The service covers the translation of business documents — such as delivery forecasts (DELFOR), dispatch advices (DESADV), and invoices (INVOIC) — between different formats. In particular, EDITEL supports SAP integration scenarios, converting data between IDoc format and other standards such as XML. In addition, EDITEL provides access to the SAFE archiving platform, enabling secure, compliant, long-term storage of electronic documents. Together, these solutions ensure full system integration between PHILLIPS Europe and its trading partners.

Next step: continued digitization

But this is only the beginning. Implementing EDI marks the first phase of a broader digitization strategy at PHILLIPS Europe. The company plans to integrate with Poland’s National e-Invoicing System (KSeF) and gradually expand electronic communication to include additional document types. New markets and trading partners are also in scope and will be added to the system step by step.
